CTOS Terms, Privacy, Billing & Policies

1. Overview
These Terms, Privacy, Billing & Policies (“Policies”) govern access to and use of The Closing Table Operating System (CTOS), operated by The Closing Table Media. By subscribing to, accessing, or using CTOS, you agree to these Policies.
2. Subscription Service
CTOS is a recurring monthly subscription that provides access to business tools, automations, templates, resources, AI features, CRM functionality, and related platform tools designed to support real estate professionals.
3. Billing & Automatic Renewal
Your subscription renews automatically each month unless canceled before your next billing date. By subscribing, you authorize recurring charges to your selected payment method.
4. Failed or Missed Payments
Access is granted after successful payment. If a payment is declined, reversed, fails, or is not received, account access may be paused, restricted, or suspended until billing is resolved.
5. Refunds
Unless otherwise stated in writing, subscription fees are non-refundable once a billing cycle begins, except where required by applicable law.
6. Cancellation & Subscription Management
You may manage or cancel your subscription through your client billing portal. Cancellations stop future renewals. Access remains active through the current paid billing period unless otherwise stated.
7. Account Access & Sharing
Subscriptions are intended only for the authorized user or organization on the selected plan. Unauthorized sharing, resale, sublicensing, transfer, or misuse of access is prohibited.
8. Account Security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Please notify us promptly of unauthorized use.
9. Acceptable Use
Users may not use CTOS for unlawful activity, spam, misleading advertising, harassment, scraping, malware, abusive conduct, unauthorized access attempts, or any activity that could harm the platform, users, or third parties.
10. Client Data & CRM Responsibility
CTOS may store and organize contact records, communications, notes, files, tasks, and other information entered by the user.
You are solely responsible for the accuracy, legality, permissions, consent, and proper use of any data uploaded, imported, stored, or entered into the platform.
You are responsible for complying with all applicable privacy, communication, consent, advertising, recordkeeping, and data protection laws related to your contacts and business activities.
The Closing Table Media does not review, verify, monitor, or assume responsibility for your CRM database, communications, transactions, or business practices.
Users should maintain their own backups and records when appropriate.
11. Real Estate Compliance & AI Content Responsibility
CTOS may provide templates, suggested captions, listing copy, automations, responses, workflows, and AI-generated content for convenience and productivity.
You are solely responsible for reviewing, editing, approving, and verifying all content before publishing, sending, advertising, or relying on it.
You are responsible for ensuring all use of CTOS complies with applicable real estate laws, brokerage rules, licensing requirements, MLS rules, fair housing laws, advertising regulations, disclosure obligations, privacy laws, and all local, state, and federal requirements.
The Closing Table Media does not provide legal, brokerage, tax, or regulatory advice and does not guarantee that generated content is compliant, accurate, complete, or appropriate for any specific market, brokerage, or transaction.
12. Privacy Practices
We may collect information you provide during signup, billing, support requests, and platform use in order to:
- Provide and maintain services
- Process billing
- Communicate with you
- Improve the platform
- Provide support
- Send messages you have consented to receive
We do not sell your personal information.
13. Third-Party Services & Integrations
CTOS may rely on or integrate with third-party services such as payment processors, communication tools, calendars, email providers, AI tools, or software platforms. We are not responsible for third-party outages, pricing changes, policy changes, or interruptions outside our control.
14. Platform Updates
Features, tools, templates, workflows, automations, integrations, and resources may be added, modified, replaced, or removed over time.
15. No Guaranteed Results
CTOS provides tools and systems designed to support business operations. Results depend on many factors including market conditions, user effort, lead quality, follow-up consistency, pricing, and execution. Specific outcomes are not guaranteed.
16. Security & Availability
Reasonable safeguards may be used to help protect account information. However, no platform can guarantee absolute security, uninterrupted service, or error-free performance at all times.
17. Support
Support is provided through designated support channels. Response times may vary based on business hours, volume, and issue complexity.
18. Suspension or Termination
We may suspend, restrict, or terminate access for non-payment, fraud, misuse, policy violations, legal risk, abusive conduct, or activity that may harm the platform, users, or third parties.
19. Intellectual Property
All CTOS branding, original templates, workflows, training materials, and proprietary content provided by The Closing Table Media remain our intellectual property unless otherwise stated. Users retain ownership of their own uploaded content and business data.
20. Limitation of Liability
To the fullest extent permitted by law, The Closing Table Media shall not be liable for indirect, incidental, consequential, punitive, lost-profit, lost-data, or business interruption damages arising from the use of or inability to use CTOS.
21. Changes to These Policies
We may update these Policies from time to time. Continued use of CTOS after updates become effective constitutes acceptance of the revised version.
